1How does billing work?
Weekly flash reports are paid monthly in advance, with an additional $250 development fee due at signup. This fee is for connecting your accounting software. Currently, we only support users of Quickbooks online and Xero.
For new customers who have been with us less than 12 months, we require prepayment for all fractional CFO services rendered, which are non-contractual and on a MTM basis. There is no contract for any of our services, so if you cancel and have unused pre-paid time, we will refund it to you within 10 days.
If you are not happy with the level of service and we can't make it right, a refund will be prorated back to you for unused time within 10 days.

2What is your technician referral program, and how is it different from an expensive recruiting agency?
Did you know that the majority of skilled technicians are hired within a few days of posting their resumes online? Our program has been very successful with several large, national HVAC/R and and engineering firms.
Basically, we manage your HR recruiting account. We also go on the hunt and search for potential candidates that might be a fit to apply. We then screen candidates based upon the needs you have relayed to us, and attempt to contact them within 24 hours.
YOUR JOB is to phone interview them and reply to our referral email with a "yes" or "no" within 24 hours. If you don't do this, we will assume you aren't interested and will close them out. If you fail to respond to a cumulative total of three (3) candidates, each within 24 hours, without a valid, verifiable emergency, then we will cancel your contract. Your deposit will be refunded in ten (10) days less any expenses we have incurred for labor and advertising.
Why? Because this program only works when you respond quickly. If you don't, we lose applicants to more interested companies. During your candidate phone interview, you will need to schedule a final in-person interview within one week to ensure they will fit the position and have the technical skills. You will also need to complete your company's standard background screens. We do not do background checks, drug screens, check references, or give in-depth technical skills tests. We do not warranty the applicant in any manner. We are simply providing skilled HR/admin support to help with recruiting efforts in a timely manner, so good applicants are found and contacted quickly before another company snatches them up. If the candidate doesn't work out for you, and you have legitimately interviewed acceptable candidates, you don't pay us anything. All clients will be required to pay an initial deposit of $2,500 which will be refunded after 3 months if no candidates are hired. We reserve the right to terminate a client relationship that is not mutually beneficial to both parties and refund the initial deposit within 10 days. See contract for terms and conditions.

3Why should I do this?
Many HVAC/Refrigeration, Hotside, Electrical, and Plumbing business owners go from being in a truck working for someone else, to taking the licensing test and jumping ship to start their own business. This is awesome!!! However, many don't fully understand the administrative requirements for running a full-time, profitable business. In fact, lately many of the applicants we have seen have been former HVAC business owners that have given up and shut down their companies because they couldn't juggle all of the administrative, finance, marketing, IT and dispatching needs by themselves. We don't want that for you! We want you to reach out for help and grow your business, and make room for some quality time off in the process. You have to ask yourself how much you are making per hour in the field, and then realize that it's not profitable for you to do your own administrative and financial work. If you don't hire us, please hire someone and take the burden off of yourself. We can also help you find someone to assist you with bookkeeping and even fractional office management.
4Can't I just get my wife to do this stuff?
Absolutely! But our guess is that if that were working out well, you probably wouldn't be reading these FAQs on our website. It's hard involving family in business and many times it can lead to relationships deteriorating instead of improving. Give us a try and see how we can help you grow your business.
5Are you a CPA, financial management, or law firm?
No, no and no. We are administrative support, period. While we have a strict double-check QA policy before we send things out the door, it is ultimately up to you to review your financials and any other work we do for you for accuracy. You should be reviewing it just like you would an onsite employee and providing us with feedback as we go. If you aren't happy with the quality of work provided, you need to let us know ASAP. Although our leadership has bunches of experience starting, leading, growing and selling a company, when they provide suggestions or advice, it is ultimately still up to you to decide whether or not to take it. Business has so many factors feeding into profit margins, absolutely no one can predict the outcome of any decision 100%. Therefore, you know your business best, and you are 100% responsible for those decisions. PS - That includes taking advice or suggestions from your CPA, financial manager or attorney too.
6Are your team members full time, or outsourced from other countries?
All of our team members are part-time or full-time employees with the exception of certain subject-matter experts we may bring in for more difficult projects from time to time. Most of our employees work from home. We are open to hiring anyone that has the skills necessary to do the job, and can be in the office at least a few days a week.
7Do you make money off of your referral resources?
Good business owners don't leave money on the table. As such, we offer a resources page that does include a good mix of affiliate and non-affiliate links. We have picked our referral resources based on their ability to meet the needs of our customers. Many of them we've met with or worked directly with on one of our other businesses, and like the way they do business. Does this mean they will be a perfect fit for you? Nope. It means, just like anything else in your business, you are 100% responsible for your decision to use them. Just because we like them doesn't mean they will work for you. But most have agreed to serve small to medium-sized businesses and have a ton of expertise, which can be hard to find these days in a sea of information. Any business listed on this page should just be seen as an OPTION not a recommendation.
